A call-quality review is strongest when it checks whether three records agree: what was said, what was written, and what action followed. Tone matters, but a pleasant call with an inaccurate outcome still creates operational risk.

The reviewer should assess the approved purpose, factual accuracy, respectful wording, customer choice, result label, and escalation boundary. The caller should not be judged against an authority they were never given; the business must define which decisions belong to the caller and which belong to the owner.

Consistency is more useful than a large scorecard. Select a small set of criteria tied to the service promise, then compare the same sample across reviewers. If two reviewers disagree, identify the missing definition rather than hiding disagreement inside an average score.

Review notes against the source record and final disposition. Common evidence gaps include a missing customer request, a guessed reason for refusal, a callback time that was never agreed, and a resolution label applied before the owner acted.

Quality findings should improve coaching and service design while protecting personal information. Store only what the review requires and restrict access according to the business’s policy.
